We do not sell your data to third parties. We do not share your data with DWP, HMRC, the Home Office, or any government body.

4. Legal basis for processing (UK GDPR)

For most of the information you enter (name, address, employment details etc.), our legal basis is legitimate interests — we need this information to provide the form-filling service you've asked for, and processing it is limited to that purpose.

Some information you might enter is "special category data" under Article 9 UK GDPR — for example health conditions, medical information, or trade union membership. We only process this data with your explicit consent: you choosing to type it into the chat, and separately choosing to save it to your Memory Vault, are both affirmative, opt-in actions rather than something enabled by default. You can withdraw consent at any time by deleting the relevant Memory Vault entry or your account (see Section 6).

5. AI processing and international transfers

Your messages are processed by OpenAI's API to generate responses. This means your data is transferred outside the UK — OpenAI's infrastructure is primarily in the United States. This transfer is made under OpenAI's Standard Contractual Clauses (SCCs) with UK/EU customers, which is a UK GDPR-recognised safeguard for international transfers. OpenAI's own data handling is governed by their privacy policy (openai.com/privacy). We do not use your conversations to train AI models, and we have configured our OpenAI account accordingly.

6. Sensitive information

You may enter sensitive information such as health conditions, medical details, or an NI number. This information is used only to help you fill your form. It is stored only if you explicitly choose to save it to your Memory Vault — it is not stored automatically. You can view, edit, or delete your vault data at any time from your account settings.

7. Data retention

Session conversation data is not permanently stored. Memory Vault data is retained until you delete it. You can delete your account and all associated data by contacting us.

9. Cookies

FillHelper uses minimal cookies necessary for the service to function (session management). We do not use advertising or tracking cookies.
